Part A: every service
1. Who is responsible
The Better Growth Company Ltd, a company registered in England and Wales (company number 12585000), is the controller for the personal information covered by this notice, except where Section 2 says otherwise. Its registered office is Apartment 1107 9 Churchyard Row, London, England, SE11 4FF. Fat Genie is its trading name. This one notice covers every Fat Genie service. Part A applies to all of them. Part B explains what is different for each service.
2. When we act for someone else
Where a Backroom user enters information about their own contacts or customers, or an organisation puts material into Paperwork Foundry, that user or organisation may be the controller and we act on their behalf as processor. If your information is held that way, contact that user or organisation first. We will help them respond.
3. What we hold across every service
- Account details: your name, email address, a protected (not readable) version of your password, sign-in sessions and failed sign-in attempts.
- Sign-in cookie: a secure cookie keeps you signed in. Each service’s cookies and storage page describes everything it stores on your device.
- What you add: the records, files, answers and other content you choose to put into a service.
- Security and technical information: what is needed to run the service, keep it secure and investigate faults.
- Payments: if you buy a paid service, Stripe takes the payment. We share your name and email with Stripe and keep your plan, billing period, status and Stripe reference numbers. We never receive or store your full card number.
- Visitor analytics: pages visited, the page you came from, browser and language, approximate country and a random visit identifier. Floot, our host, states that its analytics do not record IP addresses. Analytics run in a memory-only mode by default, so nothing is saved on your device for them.
- Complaints and support: what you tell us when you contact us.
4. Whether you have to give us information
You do not have to give us any information to read our public pages. To open an account you must give an email address and a password, because we need them to create and secure your account; without them we cannot open one. To buy a paid service you must give the payment details Stripe asks for. Anything else you add is your choice, but some features cannot work without it.
5. Information someone else adds about you
Our users sometimes add information about other people, for example a colleague in a CareerCaptain record, a customer in Backroom, or a person named in a document uploaded to TellDoug, Casefile or Foundry. We use it only to provide the service to the user who added it, and our terms require that user to have a lawful reason to add it. Telling each such person individually would usually be impossible or take disproportionate effort, so this notice is how we tell them. If this applies to you, you have the rights in Section 11 and can contact us at the address in Section 1.
6. Why we use it and our legal bases
We use your information to provide the service you ask for (contract); to keep services secure, investigate problems and improve them in a proportionate way (our legitimate interests); to keep records the law requires, such as payment and tax records (legal obligation); and, where the law requires it, with your consent. Agreeing to this notice is not consent.
We do not sell personal information. We do not use it for behavioural advertising. We do not currently send marketing email. If we start, we will get the permission the law requires and include a way to opt out in every message.
7. AI-assisted features
When you use an AI-assisted feature, only the information needed for that request is sent to the AI provider named in Section 8. OpenAI states that, by default, information sent through its API is not used to train its models. AI results are treated as suggestions, not confirmed facts. No Fat Genie service uses AI to make a decision about you, on its own, that has a legal or similarly significant effect on you. If that ever changes, we will tell you the information used and the safeguards available before the feature is used.
8. Who helps us run our services
- Floot hosts every service. Floot states that it uses Amazon Web Services for computing, storage and delivery, Neon for databases and Tinybird for visitor analytics.
- OpenAI provides AI-assisted features in CareerCaptain, Backroom and TellDoug. Floot’s own AI services, which may use OpenAI or Google, support Casefile and can step in for CareerCaptain.
- Stripe takes payments for paid services.
We may also share information where the law requires it, or where reasonably necessary to establish, exercise or defend legal rights.
9. Where your information is held
Floot states that application databases and data are stored in the United States, with some delivery elsewhere. Where UK law requires a safeguard for sending information outside the UK, the transfer must be covered by an adequacy regulation or another approved safeguard. You can ask us which safeguard applies.
10. How long we keep it
We keep your records while your account is active and for as long afterwards as needed for security, disputes or legal duties. Payment and invoice records are kept for six years because tax and accounting rules require it. Deleting your records does not remove those.
Floot states that it keeps backend logs for 90 days, delivery logs for 30 days and visitor analytics for 12 months. A deletion is not described as complete until live data and any required backup handling have actually been dealt with.
11. Your rights
Depending on the circumstances, you have the right to see your information, correct it, have it deleted, restrict how it is used, receive a copy in a portable form, and withdraw consent where we rely on consent.
You have the right to object to any use of your information that relies on our legitimate interests.

12. Data-protection complaints
If you think we have not handled your information properly, email privacy@fatgenie.co.uk, or write to Data Protection, The Better Growth Company Ltd, Apartment 1107 9 Churchyard Row, London, England, SE11 4FF. We will acknowledge your complaint within 30 days, investigate without undue delay, keep you informed and tell you the outcome.
You can also complain to the Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, telephone 0303 123 1113, or at ico.org.uk. You do not have to contact us first.
13. Children
Accounts are for people aged 18 or over. Housing Support Navigator’s public help pages can be used by anyone without an account, and we do not rely on an age statement to withhold urgent public information from a young person.
14. Changes to this notice
Every version of this notice has a version number and a date, and from version 1.0 each past version is kept at fatgenie.co.uk/legal. We will tell you before any change that materially affects how your information is used.
Part B: what is different for each service
B1. Fat Genie (fatgenie.co.uk)
For member accounts we also keep your account type, which services are linked to your account and when that access starts or ends, and invitation and password-reset records. A sign-in session lasts 24 hours. Reset links expire after 30 minutes; we keep only a one-way protected version of the reset code and remove those records after about 30 days. The owner cannot see or choose your new password. You can turn visitor analytics off on the Fat Genie privacy page. Fat Genie does not combine the detailed records you keep in each service into one central record.
B2. CareerCaptain
CareerCaptain holds the career information you add (roles, projects, achievements, people, skills, goals, learning, pay, writing), LinkedIn downloads you import, files and photos and what it reads from them, CVs, profiles and share-link settings (including how often a link has been opened), your questions and the resulting generated work, and limited product-use and performance information that does not include the text of your questions or answers.
Pay information is used only when your request concerns pay. Sign-in sessions last up to 30 days. Deleted items stay in Recently deleted for 30 days so you can restore them, then are permanently removed.
Campus. If you join through an organisation, we hold the membership details needed to apply sponsored access. The organisation’s staff see only overall numbers of active learners and group-level information, with small groups (fewer than five) hidden. They cannot see your individual records.
B3. Backroom
Backroom holds your profile and business details, goals, platform links and preferences, your browser’s time zone (to keep dates on the day you chose), your workspace content, AI requests and results, records of which approved Brand Board and version was used, product feedback you send, and security and audit records.
Hourly AI request counters, used as a safety limit, are removed after 72 hours. When an account deletion is completed, we keep a short completion record that does not contain the deleted account’s name or email address. You can download your records or request deletion from the Account page.
B4. TellDoug
TellDoug holds your household details, the pet records you add (vet documents, visits, observations, medicines, measurements, invoices and insurance), what TellDoug works out from them, your privacy and sharing choices, and security records.
Information about a pet’s health is not, by itself, sensitive personal information under data-protection law, but documents can contain information about people, so do not add more about other people than you need to. Secondary uses of your records, such as improving AI models or research, are switched off. We will not use your records for them without asking you first, and if you ever switch one on you can switch it off again at any time.
B5. Paperwork Foundry
Foundry holds the account, workspace, evidence and review records needed for an authorised review, including results and a person’s review decisions. Evidence may itself contain personal or sensitive information, so upload only what the review needs. Foundry does not currently use an AI provider. Your organisation may be the controller for the material it uploads (see Section 2).
B6. Fat Genie Help: Housing Support Navigator and Casefile
Housing Support Navigator. We hold your account details, your structured answers about your housing situation and your saved progress. We do not currently ask for health, domestic abuse, criminal record, substance use, religion or gender identity information, or free-text accounts, and we will not do so until our review of that processing is complete. Your answers are never used to make a housing, legal or benefits decision about you. We do not publish anything that identifies you.
Casefile. Casefile holds your account details, energy supplier and complaint details, the documents and messages you add, dates and your answers, generated drafts and review results, and payment references if a payment test is used. It asks for health or vulnerability information only where a feature separately asks and a legal condition for sensitive information applies. Case content is removed after the service’s retention period or when you ask for deletion, except limited security, accounting and integrity records kept for a lawful reason.
